Your outcome: Record manufacturing and inspection work so another authorized person can reconstruct the result and make the next decision.

Inspector checking a toolbox inspection record

Look closely: Connect the record to the actual item and activity. The photograph shows an inspector checking prior toolbox inspection dates. In your own process, capture the item identity, result, date and responsible person so another reader can reconstruct the work.

The traveler connects the work

A traveler or electronic job record links an identified job or unit to operations and results. Use the released route, instructions and acceptance criteria applicable to that job. Record the required material identities, operation, performer, date, equipment and results. Include process conditions when the process specification requires them; do not invent a universal list for every product.

Distinguish the requirement from the measured result. If the plan calls for a value and unit, writing “OK” leaves out needed evidence. Record the instrument or system identification when required so its suitability can be checked. A calibration label does not by itself prove that the instrument or method was suitable for the particular measurement.

Handle interruptions and failures visibly

At a handover, identify completed work, remaining work and any hold or unresolved issue. Do not sign another person's operation merely to make the traveler look complete. If witnessing or recording on behalf of someone is allowed, follow the approved method and make both roles clear.

Record a failed result and the authorized response. A later passing retest does not justify erasing the original failure. Link any nonconformance, rework instruction, concession and reinspection evidence. Only the assigned authority can make a release or disposition decision.

Worked example: a measurement discrepancy

A fictional plan requires a dimension from 9.90 to 10.10 mm. The original reading is 10.14 mm. The operator records it and follows the hold process. After authorized rework, a new measurement is recorded as 10.02 mm with its date, performer and linked rework record. The original 10.14 mm remains part of the history. The authorized reviewer considers the complete record before release.

Practice: Write the three separate entries: initial result, disposition/rework authorization reference, and reinspection result. Do not invent an authorization number or signature; mark those fields as to be assigned in this fictional exercise.

What a good answer preserves

The item and job identity, applicable requirement, both results with units, who performed each activity, their actual dates, the real authority for rework, and the final release decision. A neat passing number alone is insufficient.
